Salesforce Export Frequency Settings

When you configure an outbound export to Salesforce, you choose how often Common Room syncs changes to Salesforce. This setting controls how frequently Common Room checks for new or updated data and pushes it to your Salesforce instance.
Available options

How sync timing works
Syncs run on fixed clock times, not relative to when you save your settings. For example, if you select Every hour and save at 2:45 PM, the first sync won't happen at 3:45 PM — it will happen at 3:00 PM, the next hour boundary.
Each sync must finish before the next one starts. Common Room does not run multiple syncs in parallel. If a sync is still running when the next scheduled time arrives, that slot is skipped and the sync runs at the following scheduled time instead.
For example, with Every 15 minutes selected: if a sync starts at 2:00 PM and takes 20 minutes to complete, the 2:15 PM slot is skipped and the next sync starts at 2:30 PM.
What this means in practice
The frequency you choose sets an upper bound on how often your data is pushed to Salesforce — not a guarantee of delivery time. The actual time between a change in Common Room and that change appearing in Salesforce depends on:
- When the change happens relative to the next scheduled sync. A change made at 2:01 PM with an hourly sync won't be picked up until 3:00 PM — a delay of almost an hour.
- How long each sync takes. Syncs that process large volumes of data take longer to complete. If a sync runs past the next scheduled time, that slot is skipped.
Choosing the right frequency
- Every 15 minutes — Best for teams that need near-real-time data in Salesforce. Minimizes the gap between a change in Common Room and its appearance in Salesforce. Uses more Salesforce API quota.
- Every hour — A good balance for most teams. Keeps Salesforce reasonably current without running frequent syncs.
- Every 6 hours — Suitable when your team reviews Salesforce data a few times per day and doesn't need minute-level freshness.
- Daily (recommended) — Best for teams that review Salesforce data once a day, have limited Salesforce API quota, or use it primarily for reporting. The sync runs at 5:00 PM Pacific Time so data is fresh for the next business day. Uses less Salesforce API quota.
FAQ
If I choose “Every 15 minutes,” will my changes show up in Salesforce within 15 minutes?
Not necessarily. The 15-minute setting means syncs are scheduled every 15 minutes. The actual delay depends on when the change was made (it could happen right before or right after a sync), how long the sync takes to run, and whether the previous sync has finished.
What happens if I change the frequency?
The new frequency takes effect on the next sync cycle. Changing the setting doesn't trigger an immediate sync.
Are all sync times in Pacific Time?
Yes. All scheduled sync times are based on Pacific Time (America/Los_Angeles), which observes daylight saving time. During the transition to or from daylight saving time, the effective UTC time shifts by one hour.
